Data policy and terms
Plain terms for processing and hosting. Short on purpose: if anything here is unclear, ask us before you upload.
Who we are
OptixSys is a trading name. The company you contract with, and the law that applies, are named on your quote and invoice.
Your data
- We use your photos and files only to process your job.
- We never sell or share your data, and never use it to train software or for marketing, unless you joined the founder program and chose a public showcase level.
- Uploads travel over an encrypted connection and are stored outside the public part of our website, then moved to our own processing machines outside the United States. We do not use a public cloud for processing.
- If your contract requires data to stay in a particular country, tell us before you upload. We will say plainly if we can't take the job.
- We delete your photos within 30 days of delivery, or sooner if you ask, and confirm it in writing on request.
- Files we deliver carry your branding only. We clean file metadata so nothing points back to us.
- We sign your NDA or subcontractor terms on request.
Personal information
We keep the name, work email, company and country you give us, the details of your jobs and the connection address used for an upload, to run your jobs, invoice you and stop abuse. We keep them as long as invoicing and tax rules need. We don't sell them. Our website counts visits without cookies. We send marketing email only to businesses, never more than you would expect, and every email has a one-click way out. To see or delete what we hold about you, email hello@optix-sys.com.
Uploads and limits
During the beta, one job can hold up to 1,500 photos or 30 GB, with files up to 100 MB each. Only JPG and TIFF photos and CSV or TXT control point files are accepted. For bigger jobs, email hello@optix-sys.com. You must have the right to fly the site and to have the data processed. We don't take military sites, prisons or critical infrastructure.
Delivery and payment
Typical delivery is 24 to 48 hours after a complete upload. Bigger jobs get a delivery date before we start. You get an invoice with the delivery. The viewer link works right away, and the download link opens once the invoice is paid.
Viewer hosting
- Every processing job includes 90 days of hosting. After that, and for models you process yourself, hosting is on the plans shown on our pricing page.
- Links stay online while your plan is active. If a payment fails, we email you and keep your links online for 30 days before pausing them.
- If you stop hosting, you can ask for a full export of your models first. We then delete them and confirm it in writing.
Accuracy and responsibility
Accuracy depends mostly on the flight and the ground control. When you send checkpoints, we report the error at each one. If the result is outside the tolerance we agreed in writing, we reprocess it at no charge. We process data; we don't certify it. You, and your licensed surveyor where one is needed, stay responsible for how deliverables are checked and used. Measurements in the viewer are approximate and come from the model; they are not a survey.
Liability
Our total liability for a job is limited to the amount you paid for that job. We are not liable for indirect losses such as lost profit or project delays. Nothing here limits liability that the law does not allow us to limit.
Founder program terms
- Up to 10 founders, one free job each, up to 1,500 photos. Applications close Nov 15, 2026. Acceptance is at our discretion.
- You confirm you own the data or have your client's written permission to share it for processing and for the showcase level you chose.
- Public with credit: we may show the model, images and short videos of it on our website and social channels with your company name and link.
- Public, no names: the same, without any client, company or exact location named.
- Private benchmark: for survey firms re-processing a job they have already delivered. Nothing is shown, and we sign your NDA first.
- You may ask us to take a showcase down at any time, and we will do so within 7 days.
- After delivery you answer five short written feedback questions. Quotes are used only with your approval.
- Founders get 30% off their first 3 paid jobs within 12 months.
Changes
If we change these terms, the date at the top changes too. Jobs already started stay under the terms they started with.
